Privacy Policy

How we handle your data.

We collect the minimum we need, your email address to run your account, and your payment confirmation to verify lifetime membership. Nothing more.

1. Who we are

The SEND Evidence Bank is operated by SEN Parent Support Group ("we", "us"), an organisation supporting parents and carers of children with special educational needs and disabilities. This policy explains how we handle your personal data when you use the SEND Evidence Bank website.

We act as the data controller for the personal data described below and handle it in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What personal data we collect

Account data: your email address, and your name if you choose to provide one when you register. This is used to create and identify your account.

Membership data: your membership status, the amount paid, the date of payment, and the Stripe customer reference associated with your purchase. We use this to verify that you have lifetime access to the members' resources.

Payment data: payments are processed by Stripe. We do not see or store your card details; Stripe handles them directly under its own privacy policy. We receive only a confirmation that your payment succeeded, together with a customer reference.

Support communications: if you contact us, we keep a record of your message and your email address so we can respond.

3. Why we use your data, and our legal basis

To provide your account and members' access (contract): we use your email address and membership status to let you log in, to confirm you have paid, and to give you access to the exemplars, comparisons, reports and library resources.

To process payments (contract): we share the minimum necessary information with Stripe to take your one-time lifetime membership payment and record it against your account.

To keep the service secure and functioning (legitimate interests): we keep basic records of accounts and payments so we can prevent misuse, resolve access problems and keep accurate records.

4. Who we share data with

Stripe (Stripe Payments UK Ltd / Stripe, Inc.), payment processing. Stripe processes your card details as a controller under its own privacy policy.

Our hosting platform, the website and its database are hosted on a managed service platform that stores account and membership records on our behalf.

We do not sell your data, and we do not share it with advertisers. We do not send your data to any third party for marketing purposes.

5. Children's data

The SEND Evidence Bank is a service for parents, carers and professionals. Accounts are for adults, and we do not knowingly collect data from children. No information about your child is required to use this site: the exemplars and templates are anonymised, and you should never enter your child's personal details into the site.

6. How long we keep your data

Account and membership records are kept for as long as your account is active, so that your lifetime access remains verifiable.

Payment records are retained for the period required for UK tax and accounting purposes (currently six years).

You can ask us to delete your account data at any time; where we must retain payment records for legal reasons, we will retain only those records.

7. Cookies and analytics

The site uses only the essential technical storage needed for your login session to work, there is no advertising or cross-site tracking.

Basic, anonymised traffic analytics may be collected to understand how the site is used. This does not identify you personally.

8. Your rights

Under the UK GDPR you have the right to: access the personal data we hold about you; have inaccurate data corrected; have your data erased in certain circumstances; restrict or object to processing; and receive your data in a portable format.

You also have the right to complain to the Information Commissioner's Office (ico.org.uk) if you are unhappy with how we handle your data.

To exercise any right, contact us via senparentsupportgroup.org. We will respond within one month.

9. Changes to this policy

We may update this policy from time to time. The date below shows the current version. Continued use of the site after a change means you accept the updated policy.

SEND Reform Alignment 2023–2026

Aligned with emerging SEND reforms, including National Standards and digital SEND plans, where evidence of need and provision remains central.

National Standards will still require evidence of need and provision.

Digital SEND Plans will still rely on quantified recommendations.

Tribunals will remain unless primary legislation changes.

Evidence remains the backbone of decision-making.
